What a field trip charter includes

Bus loop to the gate, and back by dismissal.

You get a coach and a driver for the whole trip: pickup at the school bus loop, the ride to the destination, and the ride back in time for dismissal or after-school pickup.

The coach is booked for your school only. Students, teachers and chaperones ride together, and backpacks and lunch coolers can go in the bays under a full size motorcoach.

Public, charter and private schools across the tri-county area book the same way, charter school networks included. Send the date and the school, and dispatch works out the coach and the times with the teacher who runs the trip.

Field trip bus rental from Ace always includes the driver, and every Ace vehicle has GPS tracking, Wi-Fi and onboard cameras.

Approved vendor with three school districts

Approved vendor, insured, carrier details ready.

Ace Tours Inc is an approved vendor with the Broward, Miami-Dade and Palm Beach County school districts. Vendor approval reflects each district's requirements and is not an endorsement.

Each school still follows its own district's trip approval steps, so check with your front office which forms the trip needs. Ace is an active passenger carrier, USDOT 1310399, with $5,000,000 liability coverage, and certificates of insurance are available on request for the school or the destination.

When a museum, park or other destination asks for the carrier's details with the group reservation, ask dispatch and Ace supplies them, including the certificate of insurance made out to that destination.

Sprinter van, minibus or motorcoach for a class trip

Illustration of the empty interior of a full size motorcoach seen from the aisle, rows of high-back seats under overhead racksCount every rider, adults included.

Count every rider, adults included, then pick the vehicle. A Sprinter van with a driver suits a few student leaders and a teacher. A minibus seats 15 to 20 and suits a small class. A full size motorcoach seats 56, room for a class or two with chaperones.

A whole grade usually needs more than one coach. Ace can send several, drawing on a partner-fleet capacity of 40+ vehicles, so the grade leaves and returns together.

Chaperone ratios set by your school or district count toward the seats, so add them before choosing the coach. One spare seat for a late permission slip is a good habit.

What the field trip quote depends on

A written number makes approval easier.

Every school trip is quoted, so a budget request to the PTA or the front office can start with a written number.

If the trip still needs approval, ask for the quote anyway. A written number makes the approval request easier to sign off.

Field trips that start in South Florida

Illustration of a wooden boardwalk crossing a sawgrass marsh in the Everglades toward a small shade pavilionLeave early for the Everglades.

Schools here have a wide choice close to home. Everglades National Park and the nature centers on its edge, the science and history museums of Miami and Fort Lauderdale, and the parks and gardens of Palm Beach County are all inside a day's trip.

Ideas for the day itself are in Field Trip Ideas in Miami. Older students have their own pages: Grad Night and Senior Trips for transportation to Grad Nite and Gradventure, and College Tours for visits to USF, FSU and UF. Camps over the summer use Summer Camp Transportation.

For bigger trips, older grades go further: Orlando and Tampa work as destinations for a trip that starts at your school. Tell dispatch the plan and Ace sizes the day around it.

Trips into the Everglades go best with an early start, ahead of the afternoon heat and the summer storms, so plan to leave soon after the morning bell.

From the bus loop and back by dismissal

Headcount before the coach moves, both ways.

On the day, the coach arrives at the bus loop before boarding time. The lead teacher boards with the roster, chaperones take their seats among their groups, and the headcount happens before the coach moves.

At the destination the driver drops the class at the entrance and waits or returns at the agreed time. The same headcount happens before the ride back, and the coach pulls into the bus loop at the time on your trip plan.

Share a teacher's cell number with dispatch before the day. A late exit from the museum or a missing lunch bag is then a phone call, not a search.

How it works

How a school field trips trip runs

  1. Illustration of a row of small backpacks and lunch bags lined up on a school bench under a covered walkway

    Pack and label

Ask families to pack lunches and bags with each student's name on them. The night before, the teacher checks the roster against permission slips.

  2. Illustration of a white Ace Tours & Bus Charters motorcoach waiting in a school bus loop in the morning with its door open and orange traffic cones along the curb

    Board at the bus loop

The coach waits at the curb with the door open and cones marking the lane. Students board class by class while teachers count. Chaperones sit with their assigned groups so the count is quick.

  3. Illustration of a white Ace Tours & Bus Charters motorcoach on a quiet two-lane road through Everglades sawgrass, seen from a low drone angle

    Ride out to the destination

The driver follows the route to the day's stop, whether that is a nature center on the edge of the Everglades or a museum downtown. Students stay seated for the ride, and the teacher keeps the roster handy for the count on arrival.

  4. Illustration of a white Ace Tours & Bus Charters motorcoach parked at a modern white science museum on the Miami waterfront with palm trees

    Arrive and learn

The coach parks at the entrance and the class steps off together. At pickup time it is back at the same spot for the ride to school.

School Field Trips: common questions

Something else on your mind? Call (954) 250-6667.

Is Ace an approved vendor for our school district?

Yes. Ace Tours Inc is an approved vendor with the Broward, Miami-Dade and Palm Beach County school districts. Vendor approval reflects each district's requirements and is not an endorsement.

How much does a field trip bus cost?

Each trip is quoted. The price depends on the date, the riders, the destination and how long the coach waits. Call (954) 250-6667 or send the form for a written quote.

How many students fit on one coach?

A full size motorcoach seats 56 people and a minibus 15 to 20. Count teachers and chaperones in those seats.

Can you send a certificate of insurance to the school?

Yes. Certificates of insurance are available on request; tell dispatch who it should go to.

How early should we book a field trip coach?

As soon as the trip is approved. An early booking gives the widest choice of coach sizes for your date. You can confirm the final headcount closer to the date.

Does the driver wait while the class is at the museum?

Book the coach to wait, or to drop off and come back at a set time. Either way, the pickup time is set before the trip.
