Three campuses, three long days

Tampa, Tallahassee or Gainesville, round trip.

Counselors and senior class sponsors book Ace for campus visits to the University of South Florida in Tampa, Florida State University in Tallahassee and the University of Florida in Gainesville. The coach leaves from your school and brings the group back to it.

Each campus is a long day from South Florida, so plan the visit and the drive together. Ace runs late returns, and drivers' hours rules shape how long a day can run; dispatch plans that with the quote.

Ace is not affiliated with USF, FSU or UF. Campus tours and admissions sessions are booked with each university, so register the group there first.

Whichever term you travel in, the coach plan starts from the visit time the university gives you.

Paperwork for the school office

Vendor status, insurance and USDOT in one place.

For the front office, the facts are short. Ace Tours Inc is an approved vendor with the Broward, Miami-Dade and Palm Beach County school districts; that approval reflects each district's requirements and is not an endorsement. Public, charter and private schools all book the same way.

Ace holds USDOT 1310399 as an active passenger carrier and carries $5,000,000 liability coverage. Ask for a certificate of insurance made out to the school when you book.

Each school still follows its own trip approval steps for a trip this long, so check with the front office which forms it needs and when they are due.

The drive north

Illustration of flat north Florida farmland and stands of pine trees seen from a quiet highway pull-offMost of the day is road. Use it.

Most of a college tour day is road. Gainesville and Tallahassee trips run up through central Florida, and Tampa trips cross the state toward the Gulf.

Students can use the onboard Wi-Fi for homework or to read up on the campus before arrival. The driver plans rest stops on the way; tell dispatch if the group also needs a meal stop.

Leave room in the plan for traffic around Orlando and Tampa on the way back, so the return time you give families holds.

The coach parks while the group is on campus. If the visit includes lunch on or near campus, tell dispatch, so the driver knows when and where to meet the group.

Evening traffic can slow the ride back, so give families a return window rather than an exact minute.

A van, a minibus or a full coach

Size the vehicle to students plus adults.

Count students and adults together before you pick. A small group with one counselor may fit a Sprinter van with a driver. A minibus seats 15 to 20, and a full size motorcoach seats 56 with bays below for bags.

A whole grade, or two schools sharing a trip, may need more than one coach, drawn from a partner-fleet capacity of 40+ vehicles. Every Ace vehicle has GPS tracking, Wi-Fi and onboard cameras, whichever size you book.

Students carry little on a day visit, so the seat count usually decides the vehicle rather than the bags.

Two schools sharing a coach split the cost however they agree between them; Ace sends one quote for the whole trip.

What a college tour quote depends on

Name the campuses and the quote follows.

Every trip is quoted in writing before you book, so the counselor's office can attach the number to the trip request.

Changes to the date or the headcount go to dispatch as soon as they are known, and the quote is updated to match. Booking terms come with each written quote.

Working with the counselor and the campus

Illustration of an empty high school classroom with rows of desks, a wiped whiteboard and half-open blindsBook the campus first, then the coach.

The university sets the campus visit: the tour time, the meeting point and the group size it accepts. Book that first, then give dispatch the time the group must be on campus, and Ace works the departure time back from it.

Ask the admissions office where buses and coaches drop off groups, and send that to dispatch before the day.

One adult with a cell phone is the trip lead. Dispatch, which answers 24/7 in English, Spanish and Portuguese, and the driver work through that person.

Before the ride home, the trip lead counts the group at the coach door, the same way as in the morning, and the driver leaves only when the count is right.

Share the trip lead's number with the driver as well, so a late finish at the admissions office or a changed meeting point is a short call.

How it works

How a college tours trip runs

  1. Illustration of the empty front walkway of a South Florida high school with palms, a covered breezeway and a bare flagpole in morning light

    Meet at school early

Students gather at the school's front walkway before the bell with their bags, while the counselor checks the list. Bags go in the bays, and the group boards once the count matches the list.

  2. Illustration of a white Ace Tours & Bus Charters motorcoach on a four-lane interstate through tall north Florida pines

    Up the interstate

The coach heads north through pine country. Students rest, study or use the Wi-Fi while the driver handles the road.

  3. Illustration of a highway rest area picnic shelter with concrete tables under tall pines in north Florida

A rest stop on the way

On the long drive the driver stops at a rest area so the group can stretch, eat a packed snack and use the restrooms.

    Inside the campus visit
