Who books an evacuation charter

Seats for the people who cannot drive themselves out.

An evacuation plan needs seats as well as a shelter. Ace moves groups whose people cannot simply get in their own cars and leave: residents of senior communities and assisted living, hospital groups, students and staff, and government departments. Each group arrives with its own list of names, a pickup point and a destination set in its plan.

Ace provides the transportation: the vehicle and a professional driver. It is not a medical transport or wheelchair-lift service, and no medical care is given on board. Anyone who needs a lift, a stretcher or monitoring on the way needs a medical transport provider, so plan those riders separately. Care during the ride comes from the facility's own staff, who travel with their group.

Standby agreements signed before the season

Sign the plan before the storm has a name.

The time to arrange evacuation buses is before a storm has a name. Ace works through a standby agreement with each organization ahead of hurricane season. Organizations can sign it as a contract for the season, so the plan is on paper before the first watch is issued.

A standby agreement is a plan, not a promise of a particular vehicle. Storms close roads and change everyone's needs at once, so Ace does not guarantee a vehicle count or an arrival time during a storm. What the agreement does is put your plan, your contacts and your quote on file at dispatch before the rush, instead of on the first phone call.

How a call-out works

One call from your named contact starts the plan.

When your organization decides to move, the named contact calls dispatch, which answers 24/7 in English, Spanish and Portuguese. Dispatch opens the plan on file and confirms which vehicles can go and when.

For surge, Ace draws on a partner-fleet capacity of 40+ vehicles. What can roll on the day still depends on the roads, official orders and how many groups are moving at the same time, which is why an early call matters.

Every vehicle has GPS tracking, Wi-Fi and onboard cameras, so dispatch can follow each one on the road and riders can stay in touch with family during the trip.

Moving utility storm crews

Illustration of white hard hats, work gloves, orange safety vests and duffel bags set on a curb outside a plain hotel side entrance with palmsLodging to the staging yard, shift after shift.

Restoration work starts as soon as the wind drops, and line crews need to get from their lodging to staging yards and back, shift after shift. Ace runs crew shuttles for utilities and their contractors, with room in the luggage bays for duffels, coolers and gear bags.

Crews arriving from outside the area can be met at FLL, MIA or PBI (now President Donald J. Trump International, DJT) and taken to their lodging. Tell dispatch the crew size, the lodging, the staging address and the shift times, and the quote follows that schedule.

The same kind of shuttle runs outside storm season too; see Crew Transportation for job sites and airline crews.

Pickups from Port St. Lucie to Key West, destinations across Florida

Illustration of an empty divided highway running straight through flat open South Florida country, seen from a roadside pull-off with a guardrailPicked up at home, taken wherever your plan says in Florida.

Ace's trips start between Port St. Lucie and Key West. An evacuation can end anywhere in Florida: a sister facility up the coast, a shelter inland, a block of hotel rooms in central Florida or a school used as a shelter. The destination comes from your plan, and the ride home is planned the same way.

Ace is an intrastate carrier, so evacuation trips stay inside Florida. Long trips are planned with the quote, because drivers' hours rules apply.

If your plan names more than one destination, list them in order of preference. Dispatch can then move to the next one on your list without a second round of calls when a shelter fills up.

How it works

How a hurricane evacuation transportation trip runs

  1. Illustration of a folding table in a quiet community clubhouse meeting room with a closed binder, a blank clipboard and a pen, stacked chairs and palms outside

Agree the plan before the season

Sit down with dispatch in the quiet months and put the pickup points, headcount, bags, destinations and named contacts on paper.

  2. Illustration of suitcases, duffel bags and plastic storage totes lined up along the covered entrance walkway of a South Florida senior living community

    Bags wait at the entrance

When the call is made, residents' suitcases, duffels and totes go to the agreed entrance ahead of the pickup, so the driver can load the bays quickly.

  3. Illustration of a white Ace Tours & Bus Charters motorcoach under the covered drop-off canopy of a senior living community, door open, suitcases on the curb

    Load under the canopy

The coach pulls up to the covered entrance, the driver stows the bags, and facility staff check every name against their list as people board.

  4. Illustration of a white Ace Tours & Bus Charters motorcoach parked at the entrance of a large plain public building with beige block walls and glass doors

    Arrive at the shelter

The coach unloads at the shelter or receiving facility named in the plan, and the ride home is booked for when your group can return.

Hurricane Evacuation Transportation: common questions

Something else on your mind? Call (954) 250-6667.

Can Ace guarantee buses during a hurricane?

No. Roads, official orders and demand change quickly during a storm, so Ace does not promise a vehicle count or an arrival time. A standby agreement signed before the season puts your plan, contacts and quote on file so dispatch can act on the first call.

Do your buses carry medical staff or wheelchair lifts?

No. Ace provides transportation with a professional driver only. People who need a wheelchair lift, a stretcher or medical care on the way need a medical transport provider, and facility staff should ride with their residents.

How is an evacuation charter priced?

Every trip is quoted from your plan: the number of people, the bags, the pickup points, the destination and whether the return trip is included. Call (954) 250-6667 for a quote.

When should we set up a standby agreement?

Before hurricane season starts. Planning in the quiet months gives dispatch time to review your pickup points, headcount and destinations, and gives your board time to approve the written quote.

How many people can you move at once?

A minibus seats 15 to 20 and a full size coach seats 56. For a larger evacuation, Ace adds vehicles from its partner-fleet capacity of 40+ vehicles, depending on availability on the day.

Can the bus bring our group back after the storm?

Yes. The return can be part of the plan, and Ace schedules it once your facility says it is ready to receive people again.
