School field trips

Paperwork ready before the bus leaves the lot.

Schools need paperwork before a bus leaves the lot. Ace appears on the approved carrier lists of the Miami-Dade, Broward and Palm Beach County school districts. Listings reflect each agency's requirements and are not endorsements.

Teachers usually need a certificate of insurance and the vehicle details for the trip form. Ask for both with the quote. Give dispatch the class count, the chaperones, the departure time from school and the time students must be back for dismissal.

Field trips from South Florida schools reach museums, science centers and parks across the region, from downtown Miami to Everglades National Park and up to Palm Beach County. A coach keeps a whole class together, with the chaperones on board, from the bus loop to the front gate and back.

More detail for teachers and trip organizers is on School Field Trips.

Church groups

Illustration of a quiet church courtyard with an arched covered walkway, wooden benches, a small fountain and palmsMembers park where they gather on Sundays.

Churches book coaches for retreats, conferences, choir trips, mission team runs to the airport and joint services with a sister congregation. The coach picks up in the church lot, so members park their cars where they already gather on Sundays.

Weekend trips often leave right after a service. Tell dispatch when the service ends, so the coach is loaded and ready when the congregation walks out, and give the address of the retreat center or camp at the other end.

For a retreat, list the bags and any shared gear, such as sound equipment or boxes of supplies, so they ride in the bays and not in the aisle. Church Bus Rental covers these trips in more detail, and Senior Group Trips covers day trips for senior communities.

Sports teams

Illustration of an empty baseball field seen through the backstop fence, a dugout on one side and palms past the outfieldGear in the bays, players in the seats.

Teams travel with more gear than people. Bat bags, ball bags, coolers and uniforms go in the luggage bays under a full size coach, leaving the cabin for the players.

Away games often start early. Give dispatch the time the team must be on the field, not just the game time, so warmups are part of the plan. For overnight tournaments, list the hotel as well as the fields.

Tournament days can mean several games at one complex, or travel between fields. Book the coach for the whole day, give dispatch the schedule, and the driver is there between games. See Sports Team Transportation.

Wedding guests

Plan more than one ride home.

Wedding transportation in Miami and Fort Lauderdale is mostly a guest loop: hotel to ceremony, ceremony to reception, and back to the hotels at the end of the night.

Time the first pickup so every guest is seated before the ceremony starts, with room for late arrivals. For the ride home, plan more than one return run so guests who leave early are not stuck waiting for the last dance. See Wedding Transportation for more.

Choosing the right vehicle for a group

Head count first, then bags and gear.

Every Ace vehicle comes with a driver and has GPS tracking, Wi-Fi and onboard cameras. Pick the class by head count first, then adjust for bags and gear:

  • VanSprinter van with a driverSmall groups and families
  • 15 to 20MinibusSmall class, wedding party, church committee
  • 56Full size motorcoachA grade, a congregation trip, a guest list
  • 40+Several vehicles at oncePartner-fleet capacity of 40+ vehicles

Quotes and insurance for group trips

Send the full plan and one leader's phone.

Ace prints no hourly rates. Each group trip is quoted on the hours booked, the route, the vehicle class, the date, waiting time, tolls and parking. A one-way school run and an all-day tournament get very different quotes, so send the full plan.

With the request, send the date, the pickup and drop-off, the head count, the bags and gear, and any stops. Name one group leader who will be on the trip with a phone, since dispatch and the driver work through that person on the day.

  1. Illustration of a row of sports duffel bags and equipment bags lined up on a curb beside a school gym

    Line up the gear

Bags and equipment wait at the curb, counted and labeled, ready for the driver to load into the bays.

  2. Illustration of a white Ace Tours & Bus Charters coach waiting with its door open in a church parking lot in Miami with palms

Group Transportation Miami: common questions

Something else on your mind? Call (954) 250-6667.

What size bus does our group need?

Start with the head count: a Sprinter van with a driver suits a small group, a minibus seats 15 to 20 and a motorcoach 56. Tell dispatch about bags and gear, and Ace confirms the fit.

Is Ace an approved carrier for school field trips?

Ace appears on the approved carrier lists of the Miami-Dade, Broward and Palm Beach County school districts. Listings reflect each agency's requirements and are not endorsements.

Do you have hourly rates for group transportation?

No rates are printed. Each trip is quoted on the hours, route, vehicle and date, so send the plan and you get a price for that trip.

How should we time a wedding shuttle?

Have guests at the ceremony well before it starts, and plan more than one return run at the end of the night. Dispatch helps set the times when you book.

Can the bus carry sports equipment?

Yes. Full size coaches have luggage bays for gear. List the bags and equipment when you ask for a quote.

Can one booking cover several buses?

Yes. Several vehicles can run under one plan for a big school trip or a large wedding, drawing on a partner-fleet capacity of 40+ vehicles.
