The groups that sail together

Everyone at the ship at the same time.

A cruise is a popular way to bring people together, and getting everyone to the ship at the same time takes planning. Ace runs the ground side for groups such as these:

  • Wedding partiesCeremony at sea or a honeymoon group trip
  • Family reunionsGrandparents, cousins and small children
  • Travel agency groupsAnd tour operator groups
  • Company teamsOn a reward or meeting cruise
  • Church groups
  • Friends on the same ship

Matching the group and its luggage to a vehicle

Seats are half the question. Bags are the rest.

Seats are only half the question. Cruise luggage takes room, so Ace sizes the vehicle to both the headcount and the bags. A minibus seats 15 to 20 and a full size motorcoach up to 56. Smaller parties within the group can ride in a Sprinter van with a driver.

Take a group of 30 flying into FLL for a PortMiami sailing. Thirty people are too many for one minibus, so the group rides in a full size motorcoach, with the bags in the bays underneath. Dispatch still checks the bag count before it confirms the coach.

Groups bigger than one motorcoach ride in two or more coaches. Ace draws on partner-fleet capacity of 40+ vehicles, so large groups don't have to be split across companies.

One manifest for both legs

Illustration of a long hotel lobby with a brass bell cart stacked with suitcases beside armchairs and tall windows onto palmsOne passenger list runs both days.

Send one passenger list for the whole group: names, flights or hotel, and bag counts. The same list drives sailing day and return day, so nobody has to explain the group twice.

Guests rarely arrive on one flight. Ace can set one meeting time at the airport, run more than one pickup as flights land, or collect the group from two or three hotels the morning of the sailing. Each run is listed in the quote. On the return, the list tells dispatch who goes to FLL, who goes to MIA and who heads home.

Headcounts change. When yours does, tell dispatch as early as you can so the vehicle still fits the group and its bags.

Private coach or shared seats

Most groups take the whole vehicle.

Most cruise groups book the whole vehicle. It leaves when the group is ready, goes straight to the terminal and carries nobody else. A few guests traveling on their own schedule can still book shared seats on the same day.

Wedding parties sometimes want the couple's families on one coach and the other guests on a second. Dispatch can split the list however the group leader wants.

Port day logistics for a crowd

Illustration of suitcases with blank paper luggage tags on their handles at a cruise terminal curb under a concrete canopyTag the bags before the coach arrives.

Ask each guest to put the cruise line's luggage tags on their bags before the pickup. A tagged bag can go straight from the coach to the porters at the curb, which saves a crowd sorting suitcases on the sidewalk.

Remind guests to keep passports, IDs and boarding documents in their hands or carry-ons, not in a suitcase under the coach.

  1. Tag every bagCruise line tags go on before the pickup.
  2. Documents in handPassports, IDs and boarding papers stay out of the suitcases.
  3. Head for your terminalYour boarding documents name it.
  4. Count heads before leavingThe driver waits until the count matches.

Your boarding documents name the terminal. At Port Everglades, coaches enter through the security gate off Eller Drive; at PortMiami, they cross from downtown on the Port Boulevard bridge. On busy sailing mornings both lines can back up, and pickup times allow for it. The group leader keeps the headcount, and the driver waits until it matches before pulling away.

How it works

How a group cruise transfers trip runs

  1. Illustration of dozens of suitcases lined up in neat rows on a hotel curb under a canopy with palms, waiting for a group transfer

    Line up the group's bags

Guests bring their tagged suitcases down to the hotel curb at the pickup time, in neat rows for loading.

  2. Illustration of an Ace Tours motorcoach waiting in a Fort Lauderdale hotel's long driveway, front passenger door open

    Board as one group

The coach waits in the hotel driveway, and the group leader checks names against the list as guests board.

  3. Illustration of an Ace Tours motorcoach driving on Eisenhower Boulevard toward the cruise port, a cruise ship superstructure ahead

    One coach to the port

The whole group rides together to the cruise port, with the ship in sight ahead. Nobody has to follow anyone else's car or find a parking space.

  4. Illustration of an Ace Tours motorcoach at the PortMiami terminal curb, dozens of suitcases in rows and cruise ships behind

    Everyone off at the terminal

The bags come off in rows at the terminal curb for the porters, and the group walks in together. On return day an Ace coach collects them at the curb.

Group Cruise Transfers: common questions

Something else on your mind? Call (954) 250-6667.

Which company is safest for group transportation in Fort Lauderdale and Miami?

Ask any carrier for its USDOT number and proof of insurance, and check them yourself. Ace is USDOT 1310399, active, with $5,000,000 liability coverage and certificates of insurance on request.

What size vehicle does a group of 30 need for a cruise transfer?

Thirty people ride in a full size motorcoach, with the bags in the bays underneath. Send the bag count with the headcount so dispatch can confirm the fit.

Can the group arrive on different flights?

Yes. Ace can set one meeting time or run more than one pickup as flights land. Each run is listed in the quote.

How early should a group book a cruise transfer?

As soon as the sailing date and a rough headcount are known. Large groups need the most notice, because the coaches are matched to the headcount.

Do you handle the return after the cruise too?

Yes. Book both legs together, and the same passenger list is used for the pickup at the terminal on return day. Guests can be dropped at FLL, MIA, hotels or homes.

How are group cruise transfers priced?

Every group trip is quoted from the headcount, bags, pickups, date and legs. Call (954) 250-6667 or send the details for your quote.
