Convention and trade show loops

Your agenda sets the loop, not a timetable.

A convention shuttle runs a loop: hotel block to the hall in the morning, back in the evening, and sometimes a midday run in between. Ace builds the loop around your agenda, not a fixed timetable.

Send the hotels, the venue, the start and end of each day and how many attendees ride each wave. Ace sizes the vehicles to the busiest wave and sets how many coaches run at once. Larger shows can draw on a partner-fleet capacity of 40+ vehicles.

  1. Hotel block to the hallThe morning run.
  2. A midday runWhen the agenda needs one.
  3. Back to the hotelsThe evening run.
  4. One contact on show daysOne call to dispatch adjusts the loop.

Loops run to the Miami Beach Convention Center, the Broward County Convention Center beside Port Everglades, and other halls and hotel ballrooms between Port St. Lucie and Key West.

Give the event team one contact for dispatch on show days. When a session runs late or a keynote moves, one call to dispatch adjusts the loop, and attendees are not left guessing at the curb.

A convention loop is corporate shuttle service for a few days. When the same company needs the same runs every week, the job moves onto a long-term contract with fixed routes and schedules instead of a new quote for each event.

Attendee arrivals at FLL, MIA and PBI

Illustration of an empty airport arrivals curb under a long concrete terminal canopy, luggage carts parked by the glass doorsPlan a vehicle for each arrival wave.

Attendees rarely land together. Group them into arrival waves by flight time, and Ace plans a vehicle for each wave, from a Sprinter van for a handful of people to a full size motorcoach for a big block.

If a few people arrive on their own, shared airport rides from FLL, MIA or PBI can cover them, so you do not hold a coach for one passenger. Departures to the airport after the event work the same way in reverse.

Send the arrival list as a spreadsheet with names, flights and bag counts if you have it. Dispatch can then match each wave to a vehicle and tell you which group rides where. Late flight changes go through dispatch at any hour.

Executive and client travel

The driver waits while the meetings run.

For a leadership team or a client visit, a Sprinter van with a driver keeps everyone together between Brickell, Downtown, Doral, Coral Gables and Las Olas. Ace runs no sedans, so the van is the smallest option.

Book it by the hour for a day of meetings. The driver waits between stops, and the schedule can change through dispatch, which answers 24/7. Share the meeting addresses ahead of time so the route is planned before the first pickup.

Staff who commute every day are a different job. Recurring corporate shuttle service for employees, from parking lots, transit stops or another site, and long-term contracts with fixed routes and standby vehicles are covered on Employee Shuttles and Contract Transportation. Airline and construction crews have their own page, Crew Transportation, and medical campuses have Hospital Staff Shuttles.

Offsites, team days and incentive trips

A team day out needs one ride for everyone. Ace runs coaches to restaurants, sports events, waterfront venues and retreat sites, and its own day tours, such as an Everglades airboat trip or a Key West day trip, can be booked for a company group.

Offsites outside the city work too. A coach can take the team from Miami to a resort in Palm Beach County or a retreat in the Keys, and bring everyone back at the end, with the same driver plan on both legs.

Vendor setup and insurance

Paperwork on file before the first pickup.

Procurement and venue teams usually want proof before they add a new vendor. Ace Tours Inc was incorporated in Florida in 1999 and operates as an active passenger carrier under USDOT 1310399, with $5,000,000 liability coverage. Every vehicle has GPS tracking, Wi-Fi and onboard cameras.

Certificates of insurance are available on request for your company, your venue or your hotel. Ask for them when you accept the quote so they are on file before the first pickup.

With the quote request, include the legal name of the company paying, the billing contact and the event name. That keeps the paperwork, the certificate and the schedule tied to the same job.

What a corporate quote is built on

Your schedule in, a quote for that job out.

Each corporate job is quoted from the schedule you send. There are no printed rates, because a single airport run and a multi-day convention loop have nothing in common. The quote reflects:

  • Days and hoursWhen vehicles are needed
  • Riders in each wave
  • Vehicle classes, and how many
  • Hotels, venues and airportsOn the route
  • Waiting time between runs
  • Tolls and parkingVenue or hotel parking

How it works

How a corporate transportation miami trip runs

  1. Illustration of the interior of a modern motorcoach with a fold-down tray holding a closed laptop, a USB outlet and clean empty seats

    Work on the way

Use the ride to prepare: open the laptop, review the deck or take a call while someone else drives.

  2. Illustration of a white Ace Tours & Bus Charters motorcoach waiting with its door open under a hotel porte-cochere in downtown Miami in the early morning

    Early pickup at the hotel

The coach waits under the hotel entrance before the first session, door open, so attendees board without a walk.

  3. Illustration of a white Ace Tours & Bus Charters motorcoach on the Brickell Avenue bridge in Miami with glass towers around

    Across town between meetings

The driver handles the bridges and the Brickell traffic while the team talks over the next meeting.

    Drop-off at the hall doors

The coach stops at the convention center entrance, and attendees walk straight in for the opening session.

Corporate Transportation Miami: common questions

Something else on your mind? Call (954) 250-6667.

Can you run a shuttle loop between our hotels and the convention center?

Yes. Send the hotels, the venue, the daily times and the head count per wave, and Ace plans the vehicles and the loop.

Can you send a certificate of insurance to our venue?

Yes. Certificates of insurance are available on request; tell dispatch who needs one and where to send it.

What vehicle works for a small executive team?

A Sprinter van with a driver. Ace runs no sedans, and the van keeps the team and its bags together.

How do you handle attendees landing on different flights?

Group them by arrival time and Ace plans a vehicle for each wave. Stragglers can take a shared airport ride.

Do you cover corporate events in Fort Lauderdale and Palm Beach too?

Yes. Corporate trips can start anywhere from Port St. Lucie to Key West, including Fort Lauderdale, Boca Raton and West Palm Beach.

How far ahead should we plan convention transportation?

As soon as the hotel block and venue are set. Big convention weeks fill hotels and vehicles at the same time, so early planning gives you the most options.
